Campaign Sustainability Policy

My goal is to keep games running consistently so that everyone can enjoy their stories and adventures. This policy isn’t about punishing players—it’s about protecting the time and commitment of the whole group. Consistent games create the best experiences, and this system helps make that possible.

​1. Last-Minute Cancellations

  • A last-minute cancellation is defined as canceling within 24 hours of the session start time.

  • If a player no-shows and the game cannot run as a result, it also counts as a last-minute cancellation.

2. When Games Will Run

  • A session will run if 3 or more players confirm attendance.

  • A session may run with 2 players if the group and game master agree ahead of time that the campaign can continue with a smaller party.

3. The Strike System

  • Each last-minute cancellation that causes a game to be canceled counts as a strike for the campaign.

  • Strikes are tracked per group, since campaigns rely on group commitment.

  • If session dates are agreed upon well in advance (at least 14 days ahead) as “off days,” these do not count as strikes.

  • If a group runs 5 consecutive sessions without cancellation, one strike will be removed from their record.

4. Group and Individual Responsibility

  • Strikes apply to the group as a whole, since players are responsible to each other.

  • If one player consistently cancels last-minute or no-shows, their seat at the table may be opened for other players.

5. Options to Avoid Strikes

  • If arranged in advance, the group may choose to play a one-shot on a night when not everyone can attend. Doing this avoids a strike against the campaign.

  • At this time, there is no cancellation fee. If cancellations continue to be a major issue, a fee may be introduced in the future.

6. Business Cancellations vs. Group Cancellations

  • If I, as the game master, must cancel for any reason, I will notify the group as soon as possible.

  • If I cancel a session for a group that currently has a strike, that session will still count toward the 5-session streak needed to remove a strike.

7. Consistency and Effective Date

  • This policy goes into effect on September 5th, 2025.

  • It will apply equally to all groups.

Path Forward After 3 Strikes

If a campaign ends due to 3 strikes, the group still has options to play again. Here are a few examples of options available to groups. The game master reserves the right to not offer any group an opportunity to begin again after a game has been ended after receiving 3 strikes. 

A. Cooling Off Period

The group takes a 4–6 week break before starting a new campaign slot. This signals seriousness about scheduling and allows players to reassess their commitment.

B. Fresh Start

The group may begin a new campaign (not resume the old one) with a clean slate. The new campaign is tracked as usual under the strike policy.

C. Commitment Check

Before restarting, the group may be asked to:
- Confirm a regular schedule everyone can attend
- Acknowledge the strike system in place
- Understand that repeated cancellations will end the new campaign more quickly

D. Trust-Building Run

The group could first commit to a 5-session mini-campaign or one-shots as a trial. If completed consistently, the group can then roll into a full-length campaign.

Trust in your DM, dear players. I will guide you to your destination, even if it's not the one you originally intended.
